Support the Operations and Services Manager in all Operations of the Entire Building

Scope:
Co-ordinate all facilities and administrative functions of the business in an efficient and cost effective manner

Key Performance Areas:
Facilities Management:
Plan all operations activities and report on them accordingly.
Carry out all tasks according to the specified schedule.
Execute all functions according to the Project plan and Maintain all facilities on a regular basis.
Compliant with all operational activities.
Budgeting

Administration of and compliance with the OHS Act:
Monitor Radiation Activity in and around the Building
General Building Safety for Staff and Guests
Assist the Chairman of the committee with all the necessary legislative requirements.
Take minutes, distribute and allocate the respective tasks to committee members
Has to be familiar with the COID, WCA and GPA principles.

Disaster Recovery Plan (DRP) and Business Continuity Management (BCM):
This is one of the Critical Non Negotiable functions of the Business and the continuous planning and executing of the relevant departments DRP in Jhb and CT. Full operations assistance not only on OPS and Services but the Entire Group.

E Procurement:
Familiarise themselves with the E Procurement processes and formulate reports and process on a regular basis. Planning of reporting with Graphs, Calculations, Projections, Predictions etc. This is a critical tool in establishing our Strategy requirement and cost containment initiatives.

Environment, Climate Change and Energy Management:
Support the Ops and Serv Manager with all activities identified and find new innovative ways in greening the entire building, reducing our Carbon footprint and conservation of our energy consumption.

Strategic Planning:
Jointly conduct SWOT with all department members and provide input in establishing clear goals
Record Critical Success factors
Review Strategy on regular basis
Transfer of Skills and Multiskilling
Identify new Products and efficient processes
Delegate Responsibility
Train and Develop

Security:
Full Security Requirements for a 24/7 Operation
Maintain effective Security for all Staff and Guests especially on air.
Monitor and evaluate the effectiveness of the current security situation at all times and training of new staff on Strict Security Measures.

Matric
Facilities Management and Administration Diploma or similar
Computer literate: MS environment (Word, Excel, PowerPoint)
Valid driver's license and own transport
Able and willing to work overtime when required. Willing to travel if required

Skills Set:
Three years Managerial Experience
Two to three years experience working with DRP Processes
Three years experience working with Health Safety and Environment
Commercial Radio experience (an advantage)
Understanding of Budgets/Finance
Understanding of Business Processes and Principles.
